Admissions
- All places are subject to availability.
- A booking form must be completed prior to the child’s commencement of the sessions.
- Parents/Carers requiring ad hoc places are welcome to use the Wrap Around Care provided there are spaces and parents/carers have previously completed the registration process.
- All Wrap Around Care staff are made aware of the details of a new child.
- Children’s attendance is recorded in a register.
- The operating hours are 7.45am- 8.45am, 3.15pm-5.30pm.
Booking Places
- Places for Busy Bees are to be booked and paid for via SchoolMoney and all payments must be made prior to the session being attended.
- Parents who pay using childcare vouchers will also need to book in advance using SchoolMoney and send email notification of the voucher payment to the School Office within 24 hours.
- Priority for places will be given to those pupils that have pre-booked sessions.
- Late bookings can be made up to and including the actual day by ringing the School Office but payment for the session must be made on the day of the booking (this will incur a £2 admin fee per child, charged separately).
- Late booking charges, late collection charges, voucher payments* and any admin fees must be received within 14 days of booking. If payment is not made within this time frame, use of Wrap Around Care may be suspended.
*Please note voucher payments must be received and allocated to Hallow School by Worcestershire County Council within this 14 day period.
Pricing Policy
- The Wrap Around Care is non-profit making and the fees charged cover the cost of staffing, equipment and day to day running costs.
- School reserves the right to review this pricing structure at any point and parents/carers will be given at least one month’s notice of any changes.
- The morning session is 7.45am-8.45am.
- The afternoon is split and charged in 2 sessions 3.15pm-4.15pm and 4.15pm-5.30pm. Your child can be booked into the first session (3.15pm- 4.15pm), or the second session (4.15pm-5.30pm), if they are attending an after-school club. They can also book for both sessions (3.15pm-5.30pm). See below for pricing.
- Refunds will not be provided for cancellations due to illness, non-attendance/ early collection, etc.
- There will be no discounts for siblings.
- Charges are set per session and not for accumulated hours. Fees must be paid via our online payment system (School Money). Payment may also be made with childcare vouchers. Please specify on the Registration form if you will be paying by a childcare voucher scheme otherwise you will have to pay for your reservation at the time of booking.
- Booking/payment receipts will be provided via School Money.
- If outstanding payments are not kept up to date, use of Wrap Around Care may be suspended until payment is made. To help prevent this, please discuss any issues arising with the School Office.
- Late pick up, after 5.30 pm, will incur a late collection charge of £20 per child, as staff are only contracted until this time.
- If your child stays into the 4.15pm-5.30pm session, without booking, the fee for that session plus a late collection fee of £2 per child will apply.
Pricing Structure
- The pricing structure will automatically increase by 5% annually each September, rounding up to the nearest 10p.

Staffing
- All members of staff are Paediatric First Aid qualified and hold a Food Hygiene certificate
Dropping off and Collecting Children
Breakfast Club:
- Parents/carers are responsible for dropping off pupils for Breakfast Club (we will not accept pupil without an adult).
- Parents/carers are to enter via the front playground and ring the bell on the gate. This will alert the Wrap Around staff to come and greet the children.
- Any information/handover to the class teacher will take place at this time and Wrap Around staff will pass on these messages if the class teacher is not available.
After School Care:
- Parents/carers must call the school office if their child is going to be absent from any session using the usual reporting procedure but making it clear that the absence is from Wrap Around Care.
- Children will continue to stay within the school building once their class have been dismissed. The Teacher/Teaching Assistant will then ensure children arrive safely at Wrap around Care.
- Any information/handover to the Wrap Around team will take place at this time.
- Parents are to collect pupils via the front playground and ring the bell on the gate. This will alert the staff members to bring the child(ren) to them.
- Parents/carers are responsible for collecting pupils from Wrap Around Care (we will not release pupils without a named adult). You must inform us in writing, if anyone, other than those listed on the registration form will be collecting your child.
- In an emergency, trained staff will administer first aid, and, if necessary, accompany the child to hospital until parents/carers can take over.• If your child is unwell whilst at Wrap Around Care, staff will contact you to collect your child. No refunds will be made.
- School staff may have to contact the Police or Children’s Services if a child is left for more than 45 minutes without prior consent and all emergency contact numbers have failed to contact family/carers.
- All behaviour issues will be dealt with in line with the school’s Behaviour Policy. Should the need arise, issues with children will be brought to the attention of their parents/carers.
- If a parent/carer is aggressive or disrespectful to staff or other children, this behaviour will not be tolerated. Wrap Around Care reserves the right to withdraw its services. No refund will be issued.
- Wrap Around Care will adhere to all School Policies along with relevant legislation.
- We cannot accept responsibility for the loss or damage of any child’s belongings. Please do not send your child with expensive watches, toys, etc.
- The school has the right to review these Terms and Conditions at any time.
